Job Description

Do you enjoy making information easier to find, manage and use - and helping people adopt better ways of working?

We’re recruiting for an experienced Information Management Specialist to help an established organisation put its information management policy into everyday practice.

With a particular focus on Microsoft Teams and SharePoint, you’ll improve how information is organised and controlled, while giving staff the guidance and confidence to maintain those improvements.

Full Time, Monday to Friday (37-hours per week) - running to 31st March 2027, and potential for extension.

The role

You’ll review existing working practices and develop a consistent, practical approach to managing information across the organisation.

Your responsibilities will include:

  • Reviewing and reorganising priority Teams and SharePoint sites and libraries.

  • Establishing clear standards for structures, naming, metadata, ownership and access.

  • Recommending and applying appropriate retention and sensitivity labels.

  • Improving arrangements for archiving and closing sites, while reducing duplication.

  • Creating straightforward guidance, templates, checklists and training.

  • Supporting colleagues responsible for departmental information and clarifying their responsibilities.

  • Helping staff adopt better information management habits and putting arrangements in place to sustain them.

About you

You’ll have a strong background in information and records management, with hands-on experience of improving Teams and SharePoint environments.

You’ll understand Microsoft 365 retention and sensitivity labels and know how to translate policy requirements into sensible, workable controls.

Just as importantly, you’ll be comfortable working with colleagues at different levels, explaining changes clearly and encouraging people to adopt them. We’re looking for someone who can take ownership, implement agreed improvements and leave behind useful tools and guidance.
